What to Expect at EWRI 2025 Congress

Participation Related Questions

Q.  Are children allowed at the conference or conference activities?
A.  Children may participate in the glacier boat tour if a ticket is purchased for them. For all other conference activities, participants must be at least 18 years old.  

Q.  What is the conference dress code?
A.  The conference and all conference activities is business casual. Outdoor technical tours are casual dress and may require close-toed shoes or clear purses/bags.  

Q. Will we get Professional Development Hours (PDHs) for the conference?
A. PDH’s will be awarded for every 0.5 or 1.0 hour of educational content that you participate in during the scheduled date and time of the session. Attendees can earn PDH credits by fully participating in all technical workshops, tours and technical content sessions.

We will provide a manual PDH tracking form to keep track of which sessions you attended. You do not need to submit this form to EWRI, it is only a tracking method for your personal records. You can claim the PDH hours 30 days after the conference ends when the PDH email announcement is sent.

Q. When can we access the published conference proceedings?
A. Instructions will be made available onsite at the conference and emailed to attendees post-conference as well. The instructions will contain a token that must be used to claim the proceedings before it expires. We expect the published proceedings to be available the week of the conference.

Q.  Does ASCE publish the abstracts too?
A. The conference proceedings will only consist of the final written papers. Abstracts are not published.

Q.  How do I get a copy of the speaker's PowerPoint presentation?
A.  EWRI does not collect the speaker's PowerPoint presentations for distribution. We suggest that you contact the speaker directly for a copy.

Q.  Where can I find a detailed technical program?
A.  A detailed technical program will be posted in mid-February 2025 on the program page.

Q.  May I bring my family?
A.  Yes!  Alaska is an amazing family vacation destination and there are plenty of activities for families in the surrounding area.

Q.  Will we be able to see the northern lights?
A.  The northern lights, also known as the aurora borealis, are visible from Anchorage, Alaska from late September to mid-April. However, it's not possible to see them in the summer due to Alaska's midnight sun. The best time to view the lights is between 11 pm and 2 am when the sky is darkest and the auroras are most active.

Q.  I just found out that I cannot attend. May I transfer my registration to another attendee?
A.  Yes. Please contact ASCE customer service at [email protected].  If you are a speaker and are substituting another speaker, please contact Mark Gable at [email protected] as well.

Q.  What if I need to cancel after I register?
A.  Please refer to the policies page for information.

Q.  I am a student, but when I tried to register the rate does not reflect the student pricing.  What should I do?
A.  Students with active ASCE memberships are eligible for the student discounted pricing.  If you are not seeing the correct pricing, please contact [email protected] to set up your student membership account (it's free). Also, please make sure that you are trying to register using the same email address that is affiliated with your ASCE account.

Q.  I think I am eligible for the conference government registration rate. How do I get that?
A.  Please contact ASCE customer service at [email protected] and they will provide you with a code if you are eligible.

Q.  What meals are included in my full (weekly) registration?
A.  Attendees registered at the full (weekly) rate will have access to the Sunday evening reception, and lunches on Monday - Wednesday.  There will be scattered coffee breaks throughout the conference. 

Q.  Will there be a conference app?
A.  Yes.  You will find it in the ASCE Conferences and Event app available in the Apple App Store and the Google Play Store.  The EWRI Congress 2025 app won't be available until about 30 days prior to the conference.

Q.  My government agency needs a vendor compliance form completed to ensure cyber-security measures are in compliance with the National Defense Authorization Act (NDAA).
A.  
ASCE affirms that it does not use any equipment, system or service that is precluded by Section 889(a)(1)(B) of National Defense Authorization Act (NDAA) for Fiscal Year (FY) 2019, Prohibition on Contracting with Entities Using Certain Telecommunications and Video Surveillance Services or Equipment.  

If the Federal Agency’s Office of Procurement requires a Vendor Certification to be completed and returned to move forward with a contract award and/or payment please contact [email protected].

Q.  Is there an option to attend virtually?
A.  This conference is fully in-person with no virtual attendance options.

Q.  I am not seeing a "daily" option for registration like I have seen in past years?
A.  Since the travel distance to Alaska has increased for most participants, we have removed the daily registration option, and hope you can join us for the entire conference.

Q. Does ASCE provide funding for travel assistance?
A.  Unfortunately, no. It is the responsibility of the participant to fully fund their travel to the conference.

Q.  Can ASCE provide financial assistance to cover my conference registration and/or my travel costs?
A.  ASCE does not provide financial assistance to cover these items. 

Q.  How do I apply for an international visa?  
A.  Please refer to the information page for international travelers. Appointments for visas may take up to 6 months to get.

Q.  Do I need to wait to apply for a visa?  
A.  Please refer to the information page for international travelers. Appointments for visas may take up to 6 months to get.  You should start this process immediately, so you don't risk not getting a visa appointment in your country.

Q.  What will the weather be like in Anchorage in May?
A.  The average high temperature is 53° F and the average low temperature is 42° F in May. It only snows an average of 0.3 inches per month in May.

Q. What time zone is the conference website in?
A. The conference website is in Alaska Daylight Time (AKDT). The conference will be held in Anchorage, Alaska - United States. Pacific Time is 1 hour ahead of Alaska Daylight Time, and Eastern Time is 4 hours ahead of Alaska Daylight Time.

Q.  Can you help me find cheaper hotel accommodations?
A. EWRI has contracted with the Hilton Anchorage Hotel for a block of rooms for overnight accommodations. We encourage all guests to stay within the group block.  If you desire to stay somewhere else, you may research your options individually.

Speaker Related Questions

Q.  How long will my presentation be?
A.  If you are speaking in a concurrent technical breakout room, the length of your presentation will be determined by the number of speakers assigned to that session.  The average session will have 4 -5 speakers assigned, meaning that each presentation will be 15 - 18 minutes.

Q.  How do I submit my PowerPoint presentation to the conference organizers?
A.  EWRI does not require you to submit your presentation prior to the event date. Please bring a copy of your presentation on a USB drive and ask the moderator to load the presentation onto the laptop.  

Q.  What AV will be in the meeting room where I am presenting?
A.  Each session room will have a laptop and screen. The larger concurrent technical session rooms will also have microphones, but the smaller rooms will not.  

Q.  Can I change my oral presentation to a poster presentation?
A.  We have decided not to do a poster hall this year. All accepted abstracts will be presented orally.

Q.  Where can I find a detailed technical program?
A.  A detailed technical program will be posted in mid-February 2025 on the program page.

Q.  Is there a PowerPoint slide template that you prefer me to use?
A.  Please design your slide format in the standard 4:3 slide size format (for concurrent technical sessions) and widescreen 16:9 size format if you are a keynote presenter. EWRI does not require or provide a standard template for your presentation design.

Q.  Will there be a conference app?
A.  Yes.  You will find it in the ASCE Conferences and Event app available in the Apple App Store and the Google Play Store. The EWRI Congress 2025 app won't be available until about 30 days prior to the conference.

Q.  Is there an option to present my abstract as a poster?
A.  We are not hosting a poster hall at this year's conference.

Q.  Is there an option to present my abstract virtually?
A.  This conference is fully in-person with no virtual presentation options.

Q.  I need to make a special request for the date/time of my oral presentation, how do I do that?
A.  When you submitted your abstract, you agreed that you were available to present your abstract in person at any time that the conference staff assigns your presentation (Monday, May 19 – Wednesday, May 21, 2025). Unfortunately, we are not accepting special requests.
